This role is vital in supporting patient access to healthcare services by coordinating bookings in line with Health New Zealand and Ministry of Health (MoH) guidelines.Working closely with the Team Leader, Service Manager, and clinical staff, you will ensure patients receive timely access to care, while contributing directly to the achievement of health targets.As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5For further information about the administration and clerical pay equity settlement please follow the link below:Key Responsibilities
  • Schedule and manage patient bookings for outpatient and inpatient services, including planned care procedures, in accordance with Health New Zealand and MoH standards.
  • Assist with clinic and surgical list utilisation, cancellations, and waitlist management.
  • Support the smooth running of outpatient clinics by managing patient arrivals and departures.
  • Collaborate with clinical and administrative teams to align booking processes with service delivery goals.
  • Maintain accurate records and data entry to support reporting, compliance, and health target requirements.
  • Provide excellent customer service while maintaining patient confidentiality and privacy at all times.
About youEssential skills and experience:
  • Proven administrative experience with excellent organisational and time management skills.
  • Strong customer service focus with the ability to communicate effectively with patients, clinicians, and colleagues.
  • Accuracy and attention to detail, with the ability to meet deadlines and work independently.
  • Competence in Microsoft Office Suite (Word, Outlook, Excel) and quick to learn new systems.
  • Fast and accurate typing skills (50 - 70 wpm).
  • Strong written and verbal communication skills.
  • A proactive team player with excellent problem-solving skills.
Desirable skills:
  • Previous administrative experience in a healthcare environment.
  • Knowledge of medical terminology and the public hospital system (including patient management systems such as SI PICS).
  • Awareness and sensitivity to people of different cultural backgrounds.
