This vital role provides key administrative and logistical support to the Respiratory Lab (Lung function testing) and the clinical team, to help ensure that patients receive timely care in line with Waitaha Canterbury and Ministry of Health (MoH) guidelines.As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4AFor further information about the administration and clerical pay equity settlement please follow the link below:Key Responsibilities:
  • Customer Service: Provide excellent customer service to patients, clinicians, and other stakeholders while maintaining patient confidentiality and privacy at all times.
  • Perform the administrative tasks for the Respiratory lab including: Booking lung function tests for outpatients and inpatients (acute), coordinating with Respiratory medicine for OP appointments, maintaining service specific data bases and information systems for full transparency of work within the team, liaising with key contacts e.g. orderlies, and monitoring emails and phones.
  • Front of house - Limited cover required. Arriving patients on the relevant clinic system, answering calls and assisting with public/patient enquiries, and covering work within the admin cluster for absences/illnesses where needed.
  • Patient Management System (SI PICS): Use of SI PICS and other clinical systems specific to managing patient information and bookings, ensuring accuracy, timely data entry, and adherence to Planned Care (MoH) requirements.
About youSkills and experienceEssential Skills & Qualifications:
  • Proven customer service skills with a people-focused approach.
  • Proficient in data systems and able to quickly learn new applications.
  • Excellent independent, organizational, time management, and problem-solving skills.
  • High level of accuracy and attention to detail, with the ability to juggle tasks and meet deadlines independently.
  • A collaborative team player with mature communication skills (both written and verbal).
  • Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
  • Demonstrated perceptiveness and a sensible and proactive approach in previous administrative roles.
Desired Skills:
  • Previous experience in a healthcare administrative role.
  • Awareness and understanding of different cultural backgrounds.
  • Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems.
