Our purpose is inspiring people to connect with Antarctica, through knowledge and collaboration.Building on New Zealand's research in Antarctica over six decades, we have a strong commitment to the natural environment and are recognised as a leader in the international treaty system.Mō te mahi | About the role - What you'll be doingReporting to the Executive Assistant, you will provide a full range of administrative services to support our team.Key Responsibilities Include:
  • Receptionist duties as the first point of contact for visitors to our Christchurch office
  • Coordinating staff travel arrangements
  • Supporting staff onboarding and offboarding processes and arranging pre-deployment training
  • Support with intranet and website update, engagement with our digital media platforms, eDM management and customer engagement analytics
  • Report generation, data entry, word processing
  • Stakeholder engagement
  • Responding to external online enquiries
  • Planning and coordination of internal events
  • Support our culture of health and safety by managing our duty manager and fire warden rosters and will provide minute taking for our Health, Safety and Environment and Wellbeing Committees.
You'll help to keep our office running smoothly by managing meeting room bookings and set up, mail distribution, office supply procurement and very importantly catering for internal and external meetings! As a key part of our team, you'll be proactive at finding what needs to be done around the office, using your initiative to make improvements in systems or process. At times this may include provide back up support to the Executive Assistant or providing administrative support to other areas of the organisation.Mōu | About you - What you'll bringPeople are the key to our success, and we take pride in building great relationships within our team. To be successful in this role you'll need both great administrative and customer service skills and be comfortable using a range of different systems.Skills and Experience Include:
  • At least three years corporate and/or professional administrative experience (using of a variety of digital platforms, stakeholder management, customer service)
  • Tertiary qualification (certificate or diploma) in business administration or similar will be highly regarded
  • A proactive, professional and customer focused mindset
  • Competent with high level minute taking
  • Effective written and verbal communication skills
  • Great attention to detail, sound organisational and planning skills
  • Ability to manage and prioritise competing tasks
  • Excellent data entry and analytic skills
  • Comfortable with digital platforms and proven ability to learn new systems
  • Understanding of and commitment to, Tikanga and Te Tiriti o Waitangi principles
