We're committed to being inclusive and culturally responsive, in everything we do.Our team includes ACC-registered providers working with Sensitive Claims, experienced counsellors, and support staff who are passionate about making sure no one has to face grief on their own.About the RoleWe're on the lookout for a friendly, organised Office and Clinical Administrator to join our team. You'll be the welcoming face of the Grief Centre-helping our clients feel at ease and making sure things run smoothly behind the scenes.This role is a mix of reception, office admin, and clinical support. You'll be working with counsellors and supporting clients as they find the help they need for loss, grief and other wellbeing challenges they face. You'll also work closely with our Clinical Manager and leadership team to keep everything running efficiently and respectfully.If you're someone who enjoys variety, is great with people, and has an eye for detail, we'd love to hear from you.What You'll Be DoingFront of House & Client Support
Greet and support clients, visitors, and respond to phone/email enquiries
Provide warm, respectful, and culturally sensitive interactions
Manage client bookings and pass on messages to the right team members
Office Admin
Keep the office running smoothly-supplies, comms, facilities
Manage internal schedules, meetings, and admin systems
Keep records and databases up to date, and handle some basic finance/admin tasks
Clinical Service Support
Manage counsellor schedules and client referrals
Keep records confidential and match clients to the right counsellor
Support new staff onboarding and help with team training/admin
Track referrals and funding sources (GPs, EAP, community orgs)
Debrief and/or escalate any complex or challenging interactions to the Clinical Manager
Systems & Compliance
Make sure all paperwork and systems meet privacy, safety, and compliance standards
Pull together monthly data reports and support service reviews
Be the go-to person for our CRM (Monday.com)-including training and support
What You'll BringWe're looking for someone with at least three years' experience in administration or office coordination-ideally in health, or mental wellbeing-who's confident on reception and great with scheduling. You'll need to be tech-savvy (especially with Outlook, Excel, and CRM systems), highly organised, detail-oriented, and calm under pressure. If you've worked in the not-for-profit or mental health sector, understand NZ privacy and health compliance, or have experience with Monday.com, that's a bonus.Above all, you will approach every interaction with warmth, empathy, and professionalism, engaging respectfully with people from all walks of life.
