This role ensures smooth operations by managing diaries, travel, meetings, and maintaining confidentiality. Responsibilities include supporting recruitment, processing financial requisitions and expenses, and producing high-quality documentation and reports. The coordinator also organises meetings and events, maintains filing systems, and collaborates with other admin staff to share best practices. Additional duties involve managing courier logistics, supporting visitors, and assisting with venue and travel arrangements.Ngā pūmanawatanga ōu | What you will bringThe ideal candidate is organised, proactive, and detail-oriented, with strong communication skills and a commitment to excellence. You will be the team's fixer and will bring a can-do attitude to the support you provide. Through your proactive approach you will look for opportunities to assist this busy team while maintaining a high level of attention to detail.Key requirements of the role will also include but not limited to:
  • Excellent verbal, written and interpersonal communication skills.
  • Demonstrated experience support senior leaders in an ambiguous setting
  • Resilience, Proven skills in time management and multitasking
  • Experience in coordinating a small team
  • Ability to build and maintain relationships across an organisation, using appropriate style and method to communicate with others.
  • Understanding and appreciation of cross-cultural practices in particular; knowledge of tikanga Māori, and Pacific peoples' culture and their community circumstances.
