In addition to the suite of leadership and management workshops, OD runs formal leadership programmes and IT skills, systems and processes workshops for academic and professional staff.Job DescriptionTe Whiwhinga mahi | The opportunityWe are seeking casual Organisational Development (OD) Learning Coordination Support to provide customer focused speciality learning administrative support for staff development activities, for professional and academic staff across the University.While the team are located on 49 -51 Symonds Street, the workshops and events can be located both online and across the City and Grafton campus.The role is casual, with usual hours of work falling between 8am - 6pm, Monday to Friday. Most OD Learning Coordination Support Roles are rostered between 6-8 hours per week, depending on events and workshops taking place.The hourly rate is $27.90, paid based on submissions of time sheets online.Main responsibilities will include:Programme/Workshop administration and support.
  • Provide administrative and logistical support for OD workshops and events, including complete setup of workshops and events, arrangement of furniture and equipment at the venue, and ensuring cleanliness and functionality of OD-owned venues.
  • Liaise with attendees, facilitators, and OD staff to confirm workshop details and requirements.
  • Liaise with IT for technical setup requirements and troubleshooting during events.
  • Manage the production, procurement, and distribution of workshop materials, ensuring timely delivery.
  • Organise catering for large events, considering attendee numbers and dietary requirements.
  • Setup and pack down refreshment areas for all workshops and events.
  • Maintain accurate records of upcoming programmes/workshops, update session details, and resolve conflicts as needed.
OD-wide administration and support
  • Monitor and respond to simple queries received via email and Service Cloud, categorising by urgency and type, and escalating complex issues as necessary.
  • Manage internal and external room booking requests and access cards.
  • Maintain cleanliness and functionality of kitchen facilities, including dishwasher & communal fridge management.
  • Provide other general administration assistance to OD-staff as required, e.g., stationery ordering, stationary receipting and storage, stock takes, support for workshops/conferences, preparation of materials for events/meetings, catering, raising and following up on property maintenance requests, ordering supplies for workshops.
